Vilna Shul Seeks Office Manager

We are seeking an Office Manager for a new opportunity at a growing non-profit cultural center /community center / historic museum in Beacon Hill. The successful candidate will make a great impression as the first point of contact at this busy institution. He/She will operate a highly functioning, accurate, and fast paced office that is also fun and rewarding.

Duties Include:

  1. Welcome visitors by greeting them, in person, by email, or on the telephone; answering or referring inquiries
  2. Maintain integrity of data in donor database/CRM (DonorView)
  3. Execute office mailings (email and regular mail), including donation acknowledgement letters and fundraising appeal letters/solicitations
  4. Work with and assist staff and board members in their duties including development, fundraising, capital campaign, publicity, marketing, building maintenance, programming, and volunteer management
  5. Assist with all tasks for annual fundraiser tribute benefit and be primary coordinator
  6. Work with and coordinate vendors for purchases and services (printing and bulk mailing, trash, alarm, security, supplies, cleaning, etc.) and maintain inventory of all supplies
  7. Maintain organized office and perform various office administrative tasks
  8. Complete weekly remote check and cash and update CRM accordingly
  9. Build and maintain detailed reports on several business units and fundraising initiatives
  10. Manage organizational calendar (tours, staffing, events, meetings, etc.)
  11. Contribute to team effort by accomplishing related results as needed



  1. Superb telephone, written,  and verbal communication skills
  2. High level of professionalism and customer focus
  3. Experience with any type of CRM or donor database
  4. Team player
  5. 1-2 years of experience in a fast paced office environment
  6. Customer service experience
  7. Previous work in a "client facing" office and/or museum setting
  8. Proficient in Microsoft Office Suite



  1. Basic knowledge of Jewish culture
  2. Interest in history
